As a law firm nationally recognized for its client service excellence, Phillips Lytle continues to employ technology that provides clear benefits to its clients. The iManage system is part of that technology. This product allows Phillips Lytle attorneys to not only secure and organize their knowledge assets, but also protect sensitive data while speeding document retrieval and fostering collaboration.
Over time, Phillips Lytle developed a network of integrated systems to manage documents, records, and workflow. The firm worked systematically with Synergy IT to ensure that these systems were up-to-date and in sync, thus maximizing their value to the firm. As technology evolved over time, Phillips Lytle wanted to remain on the cutting edge, so it sought to replace its suite of legacy systems with an integrated suite of products that would provide an intuitive user interface, ensure user adoption, and foster efficiencies.
After a thorough review of the options available, Phillips Lytle ultimately chose iManage as the solution for the firm and its clients. iManage is a market leader in document and email management, transforming how professionals work by interlacing its core document management system with AI, security, records, and information governance tools. The horizontal reach of the iManage product line will allow Phillips Lytle to work in a coordinated environment without the risk that the tools it invests in will evolve in disparate ways.
Beyond the system itself, Phillips Lytle valued the transition plan that minimized disruption to the day-to-day operations of the firm and maximized the use of its internal resources and long-standing partner, Synergy. Ideally, the firm wanted to identify a service provider with experience in DM, Decisiv Email, ARM RM, and Metastorm, as well as an organization with a culture that would accommodate its existing, long-standing relationship with Synergy.
As a trusted advisor to Phillips Lytle for more than 13 years, Synergy has assisted the firm in achieving technology alignment within its business, while outsourcing its non-core functions and simultaneously mitigating risk year after year. The firm trusted and partnered with Synergy on gateway security, storage solutions, image deployment, document management, product procurement, office relocations, and more. Local to Buffalo, Lynne Caputi of Synergy was responsible for the legacy DM platform in service at the firm. Ms. Caputi, now a CISSP, assisted Phillips Lytle with migration to a new DM solution, and engaged ADV to do so.
ADV was selected because of its strong expertise across the iManage platform of solutions. In addition, the company is technically innovative, highly customer-focused, and deeply knowledgeable concerning all aspects of content management.
“The willingness to work with an existing vendor that is based in our marketplace, and has the ability to help with adjusting our existing Business Process Management software to work with iManage, was key in our decision to work with ADV,” stated David M. Powers Jr., Director of Information Technology for Phillips Lytle.
For ADV, Phillips Lytle’s migration is a dream project. Phillips Lytle’s legacy systems involved uncommon products and sophisticated customizations. The firm’s rollout preferences allowed ADV to leverage its cutting edge ADV Sync tool for maintaining documents in both environments during a phased migration. The move from eDOCS to iManage allows ADV’s experts to leverage their certifications across both platforms. ADV is also poised to leverage its consultative skills, as Phillips Lytle reviews its environment and business processes to not simply mimic its current system, but rather build on the advanced technology to streamline its processes and further its goals.
As ADV works to seamlessly complement an organization’s existing team, coordinating with both Phillips Lytle and Synergy is a welcome and familiar style of managing the series of projects. By choosing ADV as a partner, Phillips Lytle positioned the firm to continue to work in tandem with the same partners throughout the project, leveraging underlying competency and adding fluency in the dynamics of the organization. This approach provides the most flexibility to manage risks, accommodate the most complex functional requirements, and adapt the rollout timeline to the firm’s resources and needs.
To kick off the project series, representatives from Phillips Lytle and ADV jointly attended iManage ConnectLive 2018 in Brooklyn, N.Y. This gave Phillips Lytle an early opportunity to see how other firms are navigating the iManage world and design decisions, while giving ADV the opportunity to observe which pieces of the puzzle are priorities for Phillips Lytle.
